Purposes and legal bases of processing

The purpose of processing your data is to plan and conduct web meetings, webinars or video conferences.

The legal basis of the processing is based on Art. 6 para. 1 lit. b DSGVO (insofar as the webinar is conducted in the context of contractual relationships) or Art. 6 para.1 lit. f DSGVO (insofar as no contractual relationship exists).

A recording of the sessions does not take place in principle. Should this be otherwise, you will be informed of this before the start of the session and asked for your consent, Art. 6 para. 1 lit. a) DSGVO.

The following categories of data are processed:

  • Identification and contact data of the user, e.g. surname, first name, e-mail address, profile picture
  • Meeting metadata such as device information, IP addresses
  • Video, audio and presentation recording
  • Chat contents

The webinars are conducted as a live event via Microsoft Teams (Office 365). The provider of the software is Microsoft Corporation, One Microsoft Way, Redmond, WA 98052-6399 USA. Microsoft may necessarily obtain knowledge of the above data to the extent provided for in the order processing agreement with "Microsoft Teams".

Recipients or categories of recipients of the personal data

In principle, your data will only be transferred to third parties if it has been contractually agreed or if it is necessary for the fulfillment of the contract, if you have given your prior consent or if we are legally obliged to do so.

For the provision of the Teams service and the associated data processing, Microsoft Corporation, headquartered in Redmond, USA, is the order processor.

Transfer of personal data to a third country

There are no plans to transfer your personal data to a third country/international organization. However, please note:

For Microsoft Teams, your data is generally processed within the EU, as Groz-Beckert has defined a German data center as the storage location. Should data be transferred to a service provider located in a third country, the transfer is based on standard contractual clauses (SCC) as appropriate guarantees. Duration of the storage of personal data

We process your data for as long as necessary to fulfill the purpose of processing or as required by law.

In principle, the data related to the virtual execution of the respective session is deleted after the end of the session. Files that were collected during the session (e.g., in the chat of a webinar) and are required for its follow-up (such as answering questions that remain unanswered) are stored for up to three weeks after the end of the session and then deleted. If you have registered with one of the services, other principles may apply here. In the case of consent, deletion takes place with revocation, provided that legal retention periods do not conflict with this.

Your rights

According to the GDPR, you have the following rights: If your personal data is processed, you have the right to obtain information about the data stored about you (Art. 15 GDPR).

If incorrect personal data is processed, you have a right to rectification (Art. 16 DSGVO).

If the legal requirements are met, you may request the erasure or restriction of processing as well as object to processing (Art. 17, 18 and 21 DSGVO).

If you have consented to the data processing or if a contract for data processing exists and the data processing is carried out with the help of automated procedures, you may have a right to data portability (Art. 20 DSGVO).
